Job Applicant Privacy Notice

As part of the recruitment process, LUNEX University collects and processes personal data relating to job applicants. The organisation is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations.

 

What information do we collect?

LUNEX University collects a range of information about you. This may include:

  • your name, address and contact details, including email address and telephone number;
  • details of your qualifications, skills, experience and employment history;
  • information about your current level of remuneration, including benefit entitlements;
  • whether or not you have a disability for which the organisation needs to make reasonable adjustments during the recruitment process;
  • information about your entitlement to work in the relevant country where the job is located;
    and
  • background information checks as permitted by local legislation and as far as required for the job vacancy.

LUNEX University may collect this information in a variety of ways. For example, data might be
contained in application forms, CVs or resumes, obtained from your passport or other identity
documents, or collected through interviews or other forms of assessment.

We may also collect personal data about you from third parties, such as references supplied by former employers. We will seek information from third parties only once a job offer to you has been made and will inform you that we are doing so.

Data will be stored in a range of different places, including on your application record, in HR management systems and on other IT systems (including email).

 

Why does LUNEX University process personal data?

We need to process data to take steps at your request prior to entering into a contract with you. We may also need to process your data to enter into a contract with you. In some cases, we need to process data to ensure that we are complying with our legal obligations. For example, it is mandatory to check a successful applicant’s eligibility to work in Luxembourg before employment starts.

LUNEX University has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows us to manage the recruitment process, assess and confirm a candidate’s suitability for employment and decide to whom to offer a job. We may also need to process data from job applicants to respond to and defend against legal claims.

LUNEX University may process special categories of data, such as information about ethnic origin, sexual orientation or religion or belief, to monitor recruitment statistics. We may also collect information about whether or not applicants are disabled to make reasonable adjustments for candidates who have a disability. We process such information to carry out our obligations and exercise specific rights in relation to employment.

 

Who has access to data?

Your information may be shared internally for the purposes of the recruitment exercise. This includes members of the HR and recruitment team, interviewers involved in the recruitment process, managers in the business area with a vacancy and IT staff if access to the data is necessary for the performance of their roles.

We may share your data with third parties, for example customers, for the purposes of dealing with your application, former employers to obtain references for you and employment background check providers to obtain necessary background checks.

 

How does LUNEX University protect data?

We take the security of your data seriously. We have internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by our employees in the proper performance of their duties.

 

For how long does LUNEX University keep data?

If your application for employment is unsuccessful, the organisation will hold your data on file for twelve months after the end of the relevant recruitment process for consideration for future employment opportunities, unless you inform us that you do not wish us to keep your personal data on file. You can withdraw your consent to this at any time. At the end of that period, or earlier if you so request, your data will be deleted or destroyed.

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your Human Resources file (electronic and paper based) and retained during your employment. The periods for which your data will be held will be provided to you in a new privacy notice.

 

Your rights

As a data subject, you have a number of rights. You can:

  • access and obtain a copy of your data on request;
  • require the organisation to change incorrect or incomplete data;
  • require the organisation to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing; and
  • object to the processing of your data where LUNEX University is relying on its legitimate interests as the legal ground for processing.

What if you do not provide personal data?

You are under no statutory or contractual obligation to provide data to LUNEX University during the recruitment process. However, if you do not provide the information, we may not be able to process your application properly or at all.

Inscription pour une licence :
1. Remplissez notre Formulaire de candidature en ligne.
2. Participez à notre « Application Day » (journée d’inscription). Vous recevrez une invitation par e-mail.
3. Après une participation réussie à l’un de nos « Application Days », nous vous faisons parvenir un contrat d’étude par e-mail. Merci d’imprimer ce contrat, de le signer et nous le retourner accompagné des justificatifs demandés dans l’email, par voie postale ou par e-mail à LUNEX University.

Inscription pour un master :
1. Remplissez notre Formulaire de candidature en ligne.
2. Si vous remplissez les conditions pour le master, nous vous faisons parvenir un contrat d’étude par e-mail. Merci de le lire attentivement, de l’imprimer et de le signer.
3. Pour compléter votre candidature, veuillez nous retourner le contrat d’étude signé accompagné des justificatifs exigés par voie postale ou par e-mail à LUNEX University.

En tant que candidat à l’un de nos programmes de licence, nous vous inviterons à participer à une journée d’inscription en ligne. Ce jour-là, un processus d’admission aura lieu pour vérifier si vous remplissez les conditions nécessaires pour le cursus choisi.

Plus d’informations sur l’Application Day

La langue des cours de tous les programmes de LUNEX University est l’anglais. Il est donc impératif de bien parler et comprendre l’anglais. Si vos connaissances linguistiques ne sont pas suffisantes pour le cursus, vous pouvez participer au Foundation Programme pour améliorer votre niveau d’anglais.

Tout au long du processus de candidature, nous vous indiquerons quels justificatifs doivent être fournis et à quel moment. En principe, nous aurons besoin des documents suivants :

  • Copie de votre carte d’identité
  • Copie du diplôme d’études supérieures et/ou de la qualification professionnelle la plus élevée que vous avez obtenue
  • Certificat de langue (le cas échéant)

Selon le cursus choisi (licence/master) et votre pays d’origine (UE/hors UE) des justificatifs supplémentaires peuvent être nécessaires. Vous en serez informé à l’avance.

Afin de vous assurer une place dans la formation choisie, nous vous recommandons de retourner les documents le plus tôt possible, au plus tard deux semaines avant le début des cours. Si vous venez de l’extérieur de l’UE, n’oubliez pas que la procédure d’obtention de visa peut prendre 60 jours. Veuillez donc prévoir un délai suffisant.
